Record a Xero payment by voice

Record a Xero payment by voice when the money is already in the bank and the invoice still says awaiting payment. Hold Glaido's commands hotkey, say the customer and the amount, and approve the payment before anything is written.

Free to start on macOS and Windows 11.

YOU SAY
“Record a payment from Harbor Studio for 1,200, received today, into the business account.”
YOU GET
An approval card with the customer, amount, date, and account. Nothing is written until you allow it.
YOU NEED
Glaido's Commands, plus a small Xero tool that a coding agent builds on your computer.
WORKS IN
macOS and Windows 11, on top of any app. Xero does not have to be open.
BEFORE YOU START

What you need first

  • Commands in Glaido

In the sidebar, with a Beta badge. Its hotkey is not the dictation key.

  • A Xero tool with two jobs

One lists sales invoices awaiting payment, the other records one payment. Glaido does not ship it. A coding agent builds it, and you import the folder on the Custom tab.

  • Record payment left on Ask

Reading runs on its own. Recording a payment shows an approval card first.

  • Customer names in your dictionary

Add any name that comes out misspelled.

THE PAYMENT

The money arrived, and the invoice is still open

A customer paid you this morning. The transfer is in the bank, and in Xero the sales invoice still sits under Awaiting Payment.

In Xero that is Sales, then Invoices, then the Awaiting Payment tab, then the invoice, then Record payment. Fine when the invoice is already open. Slow when you are in the middle of something else.

HOW IT WORKS

How to record a Xero payment by voice

  1. Leave the cursor somewhere harmless

Don't have Glaido yet? Install it free

Enter pastes the answer into whatever has focus. If you only want to read it, click somewhere that will not send a message.

  2. Hold the commands hotkey and say the facts

Say the customer and the amount, then let go. The window opens on top, and your app keeps the keyboard.

  3. Check the approval card

A list just answers. A payment shows Allow once, Always allow, and Deny. While the card is up, Enter is Allow once, and it does not paste.

  4. Close or paste

Esc closes the window and pastes nothing. Once the answer is in, Enter pastes it where the cursor is.

WHAT YOU SAY

Ask which Xero invoices are awaiting payment, then record one

Glaido cannot see Xero, so the facts go in your sentence: the customer, the amount, the account, and the date if it was not today.

A useful list names each customer, invoice, and open amount. You cannot record a payment against a total.

Which sales invoices are still awaiting payment?

Three are still open. Harbor Studio, invoice 1042, 1,200, due last Tuesday. Northwind, invoice 1048, 640, due Friday. Bright Parcel, invoice 1051, 210, due next week. Say the customer and the amount if you want one of these recorded.

The window stays on top. This reply is an example, and nothing has been written yet.

One customer

You do not remember the invoice number.

YOU SAY
“What does Harbor Studio still owe? Just the open invoices.”
WHAT LANDS IN THE COMMAND WINDOW

Harbor Studio has one invoice awaiting payment. Invoice 1042, 1,200, due last Tuesday. Say the amount if that is the payment you want recorded.

The full payment

1,200 arrived today in the business account, for invoice 1042.

YOU SAY
“Record a payment from Harbor Studio for 1,200, received today, into the business account, against invoice 1042.”
WHAT LANDS IN THE COMMAND WINDOW

Allow once to record 1,200 from Harbor Studio against invoice 1042, dated today, into the business account. Deny if the customer or the amount is wrong. This does not match the bank line.

Part of the invoice

They paid 400 of a 1,200 invoice. The rest should stay open.

YOU SAY
“Harbor Studio paid 400 of invoice 1042 today, into the business account. Leave the rest awaiting payment.”
WHAT LANDS IN THE COMMAND WINDOW

Allow once to record 400 against invoice 1042. 800 stays awaiting payment. Deny if 400 is not the amount that arrived.

Stay in Xero when the invoice is already open, or when you want a new one. Use Glaido when the money has arrived and Xero is not the app on your screen.

GOOD TO KNOW

Xero and Glaido: questions

Will saying it mark the invoice paid?

Not on its own. Recording a payment shows an approval card first. Allow once writes that one payment, and Deny writes nothing. The full amount moves the invoice to paid. Part of it leaves the rest awaiting payment.

Does recording the payment reconcile the bank line?

No. It records the payment on the invoice. When the statement line shows up in the bank account, use find and match in Xero to reconcile it.

What if I record a payment against the wrong invoice?

Then it is a real payment in the ledger, and you remove it in Xero afterwards. Read the customer and the amount on the approval card, and deny it if either one is wrong.

Can I use Xero's large connection instead of a two-job tool?

Xero offers a connection that covers invoices, payroll, reports, and journals together. Leave it out. A long list of tools makes the answer slower and more likely to pick the wrong job. Two tools that each do one thing stay fast.

Should I use Just Ask Xero instead?

Use Just Ask Xero when you want a new invoice, or a summary of what you are owed, inside Xero. Use Glaido when the money has already arrived and you want to record that payment from the command window.

What can't Glaido do in Xero?

It has no Xero connection of its own. The tool you import is the only one. It doesn't see the invoice or the Xero window, only what you say, and web search can't see your organisation, so it can't list your open invoices. It doesn't log into Xero, send invoices, or press Record payment on the website. It doesn't collect money: no card charges, payment links, calls, or reminders to your customer.
